Duties and Responsibilities
· Recruitment and selection -Conducting recruitment process from advertisement, screening resumes for longlisting, shortlisting, arranging and conducting interviews, negotiating job offers, background reference checks and Process new hire paperwork
· Contracts Management -Preparing employment contracts/appointment letters and issuing them to new staff and renewal of contracts to the existing staff.
· Induction and Orientation – Prepare and coordinate induction programs for newly recruited employees, ensuring they settle smoothly and understand HR policies
· Performance Management – Coordinating performance management and employee evaluation.
· HR Administration: Efficient in filing and updating employee records, payroll management, and leave management by approving staff leave applications and preparing reports relating to personnel activities.
· HR policies – Respond to employee inquiries regarding HR policies and procedures.
· Payroll and statutory Management – Preparing payroll at the end of every month and ensures compliance with statutory requirements including Annual Employee returns to NEA, NSSF, NHIF
· HR Budget – Preparing Annual HR budget and departmental strategic plan.
· Leave Management – Allocating annual leaves, sick leaves, maternity, paternity, day off, attendance roster, and compassionate leaves and notifying staff on all public holidays.
· Attendance Management and absenteeism control – Closely managing employee job attendance and absenteeism through the clock in data.
· Staff engagement – Planning and overseeing staff meetings and welfare activities
· HR Reports – Preparing monthly human resource departmental reports.
· HR Files and Records – Documenting and managing all staff records and ensuring they are complete, accurate, securely well-kept and up to date;
· Office Administration – Ensuring that all company’s operational licenses are up to date.
· HRIMIs – Managing HR system, for leave application and employee data management
· Disciplinary and Grievances -Handling disciplinary cases according to Labour laws, company Human Resources policy and code of conduct.
· Employee relations – Presenting the organization in labor office cases and court cases concerning employees.
· Staff Welfare – ensuring a great working environment for all employees
Health and safety – serves as the Representative of the management at the health and safety committee and Sourcing for WIBA insurance and ensuring all staff are covered, Planning and scheduling safety training for first aid and fire Marshalls
