VACANCY: OPERATIONS & SPECIAL PROJECTS LEAD
Our client is a boutique legal practice based in Karen, Nairobi, specialising in environmental law, sustainability and natural-resource governance.
The firm works with businesses, public institutions, NGOs and development partners on environmental compliance, ESG, climate change, policy development, training and other sustainability-related matters.
They are looking for a practical and highly organised Operations & Special Projects Lead to coordinate the firm’s day-to-day operations and support the successful delivery of internal and client-facing projects.
This is a hands-on role suited to an operations or project-management professional who is ready to take greater ownership within a small, growing professional-services firm.
Location: Karen, Nairobi
Employment Type: Full-time
Working Arrangement: Primarily onsite, with Fridays working remotely in accordance with firm policy
Start Date: As soon as possible
Key Responsibilities
The successful candidate will:
- Coordinate the planning, implementation and completion of the firm’s special projects and strategic initiatives.
- Prepare project plans, timelines, budgets, trackers and progress reports.
- Follow up with team members, consultants, suppliers and external stakeholders to ensure agreed deliverables are completed on time.
- Coordinate conferences, training programmes, publications, stakeholder meetings and other firm initiatives.
- Support the development and implementation of standard operating procedures and internal administrative systems.
- Manage the firm’s operational calendar, office requirements, vendors and routine administrative activities.
- Coordinate client onboarding, engagement documentation, meeting follow-ups and service-delivery timelines.
- Maintain project records, client information, templates and the firm’s internal knowledge repository.
- Support staff onboarding, leave administration, performance tracking and training coordination.
- Maintain compliance calendars and assist with KYC, AML, data-protection and other operational compliance requirements.
- Liaise with the firm’s outsourced accountant, HR consultant and other external service providers.
- Identify operational challenges and recommend practical solutions to the firm’s leadership.
Qualifications and Experience
Applicants should have:
- A bachelor’s degree in Business Administration, Project Management, Law, Public Administration or a related field.
- Approximately three to five years’ relevant experience in operations, project coordination, programme administration, consulting or professional services.
- Experience coordinating projects involving several team members, consultants or external stakeholders.
- Strong planning, organisation, follow-up and problem-solving skills.
- The ability to prepare and maintain project plans, trackers, budgets and reports.
- Good written and verbal communication skills.
- Confidence using digital project-management, document-management and collaboration tools.
- The ability to work independently and manage several responsibilities simultaneously.
Experience in a law firm, consultancy, NGO, development organisation, environmental organisation or other professional-services setting will be an added advantage.
